Refund Policy

This Refund Policy applies to services and purchases made through Hershawn Travels. Please review the applicable service description, agreement, and supplier terms before making a payment.

Planning and Coordination Fees

​

Hershawn Travels fees cover professional services such as research, planning, booking setup, itinerary development, and travel coordination. These fees are separate from payments for flights, accommodations, transportation, and other travel purchases.

​

Fees identified as nonrefundable before purchase are nonrefundable once the agreed work begins, except where required by law. Canceling your trip does not automatically entitle you to a refund of planning or coordination fees.

Any refund eligibility before work begins follows the terms provided and accepted at purchase.

Appointment Cancellations and No-Shows

​

All appointments, including complimentary consultations, must be canceled or rescheduled at least 24 hours before the scheduled appointment.

​

A $25 fee applies to cancellations or rescheduling within 24 hours and to missed appointments, as disclosed and accepted during booking. This fee is separate from any purchased service or supplier cancellation charges.

​

If Hershawn Travels cancels your appointment, the $25 fee does not apply.

Travel Reservations and Supplier Payments

​

Refunds for flights, hotels, resorts, cruises, excursions, transportation, and other supplier services depend on the applicable supplier terms and law.

​

Some reservations are nonrefundable. Others may qualify for a partial refund or travel credit, subject to cancellation deadlines and penalties. A travel credit is subject to the supplier’s redemption terms.

Nothing in this policy limits legally required refunds, including applicable airline refund rights. We will assist with eligible refund requests within the scope of your purchased service.

Group Travel and Retreats

​

Host planning and booking setup fees, individual traveler coordination fees, and supplier deposits are separate payments with separate terms.

​

Refund eligibility follows the accepted group agreement and supplier contract. Withdrawing from a group or failing to meet participation requirements does not automatically make payments refundable. Any minimum participation, room-block, cancellation, or attrition obligations will be disclosed in the applicable agreement.

Gift of Travel

​

Refunds for Gift of Travel purchases follow the terms disclosed at purchase and applicable law. Gift purchases may include service fees, travel credit, or supplier payments; refund eligibility depends on what was purchased and whether services have begun or reservations have been made.

Digital Products

​

Any refund restrictions for downloadable guides or other digital products will be disclosed before purchase. If a file is inaccessible, damaged, or incorrectly delivered, contact us for assistance, a replacement, or any refund required by the purchase terms or law.

If We Cannot Provide a Service

​

If Hershawn Travels cannot provide a purchased service, we will review the unprovided portion and issue any refund due under your agreement and applicable law. Independent supplier cancellations remain subject to supplier terms and legally required remedies.

How to Request a Refund

​

Email admin@hershawntravels.com with:

• The purchaser’s name.

• The service or reservation involved.

• The payment date and receipt or confirmation number.

• The reason for your request.

Please do not email full payment card details.

​

Submitting a request does not itself cancel a reservation or confirm refund approval. Contact us promptly when cancellation deadlines apply. For urgent travel matters, also call 405-230-0421.

Refund Processing

​

Approved refunds will generally be returned to the original payment method, unless otherwise required by law or agreed with you. Processing times vary by supplier, payment provider, and financial institution. Applicable legal refund deadlines will be honored.
