1. Booking & Payments

1.1 All bookings are subject to availability and confirmation.

1.2 A deposit or full payment may be required at the time of booking.

1.3 Prices are subject to change until the booking is confirmed.

1.4 Payments must be made through approved methods (credit card, bank transfer, etc.).

1.5 Credit card charges will reflect vendor fees plus Hershawn Travel's service fee.

2. Cancellations & Refunds

2.1 Cancellation policies vary by service provider (airlines, hotels, tours, etc.).

2.2 Hershawn Travels may charge a cancellation fee in addition to supplier fees.

2.3 Refunds will be processed based on the terms of the service provider.

2.4 The travel consultation fee is non-refundable, but will be credited toward your booking once confirmed when advertised

2.5 Retainer for exclusive rates are non-refundable.

2.6 A $25 "No Show" fee will be charged three minutes after booked time

3. Travel Documentation

3.1 Travelers are responsible for obtaining valid passports, visas, and any required health documents.

3.2 Hershawn Travels is not liable for denied entry due to missing or incorrect documentation.

4. Travel Insurance

4.1 We strongly recommend purchasing travel insurance to cover trip cancellations, medical emergencies, and other unexpected events.

4.2 Hershawn Travels is not responsible for losses due to lack of insurance coverage.

 

5. Liability & Responsibility

5.1 Hershawn Travels acts as an intermediary between travelers and service providers.

5.2 We are not responsible for cancellations, delays, or disruptions caused by third-party providers.

5.3 Travelers assume all risks associated with their trip, including unforeseen circumstances such as natural disasters, political instability, or medical emergencies.

 

6. Conduct & Behavior

6.1 Travelers must comply with local laws, customs, and regulations of the destination.

6.2 Hershawn Travels reserves the right to refuse service to any customer engaging in unlawful or disruptive behavior.

 

7. Changes to Itinerary

7.1 Travel itineraries are subject to change due to weather, supplier adjustments, or unforeseen circumstances.

7.2 Hershawn Travels will make reasonable efforts to notify travelers of any changes.

7.3 Hershawn Travels may charge a cancellation fee in addition to supplier fees.

 

8. Intellectual Property

8.1 All content on the Hershawn Travels website, including logos, images, and text, is protected by copyright and may not be copied without permission.

 

9. Privacy Policy

9.1 We respect your privacy and handle your personal data in accordance with our Privacy Policy.

9.2 By using our services, you consent to the collection and use of your information as outlined in our Privacy Policy.

 

10. Governing Law & Disputes

10.1 These Terms and Conditions are governed by the laws of Canadian County, Oklahoma.

10.2 Any disputes shall be resolved through mediation or arbitration before legal action is pursued

11. Book Understanding

11.1 By booking with Hershawn Travels, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.

12. Self-Service Booking Policy 

12.1 Responsibility for Bookings
All reservations made via self-service are the responsibility of the traveler. Hershawn Travels provides recommended links and information, but we do not process payments or hold reservations on your behalf.

12.2 Payment
All bookings require a valid major credit card and must comply with the payment policies of the respective travel providers (airlines, hotels, tours, etc.). Hershawn Travels does not store your payment information.

12.3 Pricing & Availability
Self-service pricing and availability are provided by third-party travel providers and are subject to change without notice. Hershawn Travels cannot guarantee prices or availability at the time of booking.

12.4 Cancellations & Refunds
Cancellations and refunds are subject to the policies of the individual providers. Hershawn Travels is not responsible for any fees incurred from canceled or modified bookings.

12.5 Support & Guidance
While we provide links, suggestions, and travel guidance, full service support (e.g., booking on your behalf) is only available through our full-service option for a separate fee.

12.6 Non-Refundable Service Fee
A non-refundable self-service planning fee may apply if you request our assistance to find options and links for your itinerary.

13. Full-Service Booking Policy

13.1 Booking Responsibility
Hershawn Travels will handle reservations for flights, hotels, tours, and other travel services on your behalf. The traveler providing payment is responsible for all charges associated with the bookings.

13.2 Payment
A valid major credit card is required to secure all full-service bookings. Payment terms are determined by the travel providers and may include deposits or full prepayment. Hershawn Travels may collect payments on behalf of providers, but all charges remain the responsibility of the traveler.

13.3 Pricing & Availability
We provide pricing and availability based on the information from our travel partners. While we strive to provide accurate and up-to-date options, all rates are subject to change until bookings are confirmed.

13.4 Cancellations & Refunds
Cancellation and refund policies vary by provider. Any fees incurred due to cancellation, changes, or no-shows are the responsibility of the traveler. Hershawn Travels will assist in processing requests but is not liable for fees imposed by providers.

13.5 Travel Itinerary & Documentation
Hershawn Travels will provide a detailed itinerary and all necessary travel documentation once bookings are confirmed. Travelers are responsible for reviewing and verifying all details.

13.6 Non-Refundable Service Fees
Full-service booking fees are non-refundable once the booking process has begun, as they cover the time and resources used to secure and manage your trip.
